Direct Answer

When purchasing an integrated water treatment and supply system, define operator training as a specific deliverable. Identify who will attend, which supplied equipment the training covers, how remote online sessions will be delivered and what records are required.

Do not rely on “training included” without a scope. Ask the supplier to distinguish operator instruction, maintenance instruction and commissioning support, and identify any activities requiring specialist personnel.

Training content should follow the final supplied configuration and its approved operating documentation.

Application Scenarios

This checklist is intended for EPC contractors and buyers preparing systems for mining sites, remote camps, rural communities and industrial facilities.

It is particularly relevant when the purchasing team, installation contractor and eventual operating team are different organizations.

For projects with changing shifts or staff turnover, identify how training materials and agreed records will be handed over to the operating organization.

1. Identify the People and Their Responsibilities

Before requesting a training quotation, describe the intended participants:

  • Operators responsible for routine operation.
  • Personnel assigned to approved maintenance tasks.
  • Supervisors responsible for operating records and escalation.
  • Other project personnel who need an overview of system interfaces.

State the working language and any interpretation requirement.

Ask the supplier to identify prerequisites for each part of the training. Attendance should not be treated as authorization to perform every electrical, mechanical or chemical-handling task.

2. Link Training to the Actual Supply Scope

Request a training outline that references the final equipment arrangement.

Where included in the supplied system, the outline may address pretreatment, membrane filtration, disinfection, storage, pumping and controls. Do not assume that every integrated package contains all of these functions.

Clarify which topics are covered by the package supplier and which require instruction from another equipment supplier or the site team.

Training itemWhat the RFQ should clarify
Equipment coverageWhich supplied units and interfaces are included?
Operating documentsWhich manual revisions will be used?
Routine operationWhich approved operating tasks will be explained online or demonstrated remotely?
Alarms and abnormal conditionsWhich responses belong to operators, and when must they escalate?
Maintenance scopeWhich tasks are included, and which require specialist support?
Delivery formatRemote online training, with agreed remote demonstrations where applicable
Language and materialsTraining language, interpretation and documents supplied
Completion recordsAttendance, topics covered, remote demonstrations and open items

3. Define Online Explanation and Remote Demonstrations

Ask the supplier to identify which topics will be explained online and which will include an agreed remote demonstration.

Any physical operation at the project site must be carried out by appropriately qualified personnel arranged by the customer, following the applicable equipment instructions and site procedures. Online training does not replace those responsibilities.

If the equipment is not ready for a planned remote demonstration, record the topic as outstanding and agree how it will be completed. Do not mark a demonstration as completed merely because it was discussed.

The training plan should identify any topics that cannot be adequately addressed remotely and record them as requiring separate technical arrangements.

4. Define Readiness and Scheduling

Ask what must be available before the online training can proceed.

Depending on the agreed scope, this may include the final manuals, the agreed online connection, available operators and access to the equipment needed for any agreed remote demonstration.

Record who confirms readiness and how schedule changes will be handled. Distinguish online training deliverables from commissioning support and physical site work.

Avoid specifying a training duration without reviewing the equipment scope, audience and intended activities.

5. Agree the Records and Follow-Up Boundary

Request a completion record showing:

  • The date and remote online delivery format.
  • The participants and training roles.
  • Equipment and document revisions covered.
  • Topics explained and remote demonstrations completed.
  • Questions or activities still outstanding.
  • The agreed owner of each follow-up item.

If session recordings are proposed, agree their scope and access arrangements in advance.

Clarify whether later refresher training, additional attendees or follow-up support are included or separately quoted. Do not assume that initial training includes unlimited future support.

RFQ Checklist

Include the following request in the enquiry:

Please provide a remote online operator training scope for the proposed integrated water system. Identify the intended audience, prerequisites, equipment coverage, language, schedule, remote demonstrations, required readiness and completion records. Distinguish included instruction from specialist work, commissioning support and separately quoted follow-up services.

Provide the proposed operating organization, working language, available personnel and expected project schedule.

FAQ

Is supplying an operating manual the same as providing training?

They are different deliverables. State whether the purchase requires documents, online instruction, agreed remote demonstrations or a defined combination.

How is operator training delivered?

Operator training is delivered remotely online. The scope, language, schedule, training materials and follow-up support are agreed for each project.

Does attendance prove that every participant can operate the system independently?

An attendance record documents participation. If the project requires an assessment of specific tasks, define that assessment and the responsible evaluator separately.

What if the equipment configuration changes after training?

Identify which documents and training topics are affected, then agree the necessary updates before relying on the earlier instruction.
