Direct Answer

Before arranging transport for an integrated water treatment and supply system, request a shipment-specific packing list, external packed dimensions, weights, handling information and delivery responsibilities.

Confirm whether each figure is preliminary or final. A quotation-stage equipment drawing should not automatically be treated as the final shipping arrangement.

For containerized equipment, ask whether the enclosure is intended and documented for the proposed transport method. For skid-mounted equipment, request dimensions and weights after packing, including any separate accessories.

Where This Checklist Applies

This checklist is intended for EPC contractors, procurement teams and equipment distributors purchasing systems for mining sites, remote work sites, temporary camps, rural communities and industrial facilities.

It is particularly useful when different parties handle equipment supply, international transport, inland delivery and unloading. Each party needs a consistent description of what will physically arrive.

1. Separate Equipment Dimensions from Shipping Dimensions

Ask the supplier to distinguish between:

  • Equipment dimensions during normal operation.
  • External dimensions after packing.
  • Dimensions of components shipped separately.
  • Dimensions after final site assembly.

A drawing showing an assembled system may not show packaging, protective frames or removed components.

Request a packing arrangement that identifies each shipping unit. If the shipment arrangement is not finalized, ask for an estimated issue date and record which figures still require confirmation.

2. Use One Shipping Data Register

Information to requestProcurement question
Shipping-unit identificationDoes every package have a unique reference linked to the packing list?
External packed dimensionsAre length, width and height stated for each package, with units?
Shipment weightsAre equipment weight and packed gross weight clearly distinguished?
Separate accessoriesAre pumps, instruments, loose piping and other separately packed items listed where applicable?
Handling informationAre approved lifting or handling instructions available for the supplied arrangement?
Packing and storage requirementsAre protection measures and storage restrictions stated?
Delivery and unloading boundaryWhich party arranges transport, unloading and final positioning?
Document revisionDo the packing list and drawings describe the same shipment revision?

Do not combine estimated and confirmed values without identifying their status.

3. Clarify Containerized and Skid-Mounted Arrangements

“Containerized” describes an equipment arrangement, but the buyer should still confirm the proposed shipping method and the documentation required by the appointed carrier.

Ask whether external connections, ventilation components or other fittings will remain installed during transport or be shipped separately. Record who will reinstall and check them at site.

For skid-mounted systems, clarify whether the shipping arrangement includes a crate, protective frame or another form of packing. Ask for the final packed envelope rather than relying only on the skid footprint.

For either arrangement, have the logistics provider review the actual shipping data before confirming transport.

4. Define the Remote-Site Delivery Boundary

For a remote project, name the delivery point precisely. A destination port, local warehouse and final equipment foundation are different handover locations.

Identify who is responsible for:

  • Reviewing the inland route and site access.
  • Arranging unloading equipment.
  • Providing the unloading area.
  • Moving the equipment to its final position.
  • Inspecting the shipment on arrival.
  • Recording missing items or visible damage.
  • Storing equipment before installation.

These responsibilities should be agreed with the relevant supplier, carrier and site contractor. Do not assume that a reference to “delivery” includes every activity.

5. Request Equipment-Specific Storage Instructions

Ask for written storage instructions for the supplied pumps, control equipment, instruments and membrane components, where included.

Do not apply one generic storage instruction to every component. Request any applicable restrictions on temperature, moisture, orientation, storage duration and preservation.

If the equipment will wait at site before installation, identify who will carry out the required checks and maintain the records. Use the instructions for the actual supplied components.

RFQ Checklist

Include the following request in the enquiry:

Please provide preliminary shipping data with your quotation and confirm the final packing list before dispatch. Identify each shipping unit, external packed dimensions, equipment and gross weights, separately packed items, handling instructions, storage requirements and delivery exclusions. Mark preliminary values clearly and identify the revision of each document.

Also provide the supplier with the proposed destination, delivery point, known access constraints and intended period of storage before installation.

FAQ

Can we obtain a freight quotation using preliminary dimensions?

You can request an initial estimate, but identify the data as preliminary. Ask the logistics provider to reconfirm the arrangement and price against final shipping data before booking.

Does a containerized system automatically ship as a standard freight container?

Do not assume this. Ask the supplier and appointed carrier to confirm the shipping method, enclosure details and documentation for the actual equipment.

Who should arrange unloading?

The responsible party should be stated in the agreed scope. Confirm unloading separately from transport and final positioning.

What if the final packing list differs from the quotation?

Review the effect on transport, access, unloading and storage before dispatch. Record the agreed changes and issue updated documents to the parties handling the shipment.
